Terms & Conditions

1. Participation and Safety

1.1 Risk Acknowledgement
By participating in any activity at Clip ‘n Climb Crawley, either personally or on behalf of a child in your care, you acknowledge that there are inherent risks associated with climbing and active play. These may include minor injuries such as bumps, grazes or strains. Clip ‘n Climb Crawley accepts no liability for injuries or accidents that occur as a result of failing to follow safety instructions or centre rules.

1.2 Supervision and Conduct
All participants must attend a compulsory 30-minute safety briefing before entering the climbing arena. Guests must follow all staff instructions and adhere to the following core safety rules at all times:
– Stay clipped into the safety line at all times
– Do not walk or climb on red warning mats
– Avoid creating slack on the climbing line
– No running, pushing or rough play

Entry to the climbing arena is only permitted during your booked session and once a staff member has checked your harness.

1.3 Age, Weight and Height Requirements
– Minimum age for general climbing is 4 years old
– The “Mini Mountaineers” session is available for children aged 2–4
– Participants must weigh between 10 kg and 150 kg
– Minimum height for the Vertical Drop Slide is 120 cm

1.4 Clothing and Personal Items
Participants must wear comfortable clothing and closed-toe trainers. No climbing shoes, sandals, hooded tops, high heels, loose jewellery or head coverings that may interfere with safety equipment are permitted. Long hair must be tied back. Only water bottles are allowed in the climbing area.

1.5 Medical Conditions and Fitness
Participants must be in good physical health. Anyone with a medical condition or injury should consult a medical professional before taking part and must disclose relevant information to staff prior to the session. Pregnant individuals are advised not to participate. Anyone feeling unwell should not take part in any activity.

2. Spectators and General Visitors

2.1 Arena Access
Spectators entering the climbing arena must attend the safety briefing and wear a designated wristband. Spectators do not count towards your booked participant numbers. No under-18s are permitted in the climbing arena unless booked to climb.

2.2 Supervision of Children
All children must be supervised by a parent or guardian at all times. Children remain the responsibility of their guardian throughout their visit.

2.3 Food and Drink
Only food and drink purchased on site may be consumed in the café and viewing areas, except for bottled water. Birthday cakes are only permitted within pre-booked party rooms and must be labelled with ingredient information.

2.4 Photography and Animals
Guests may take personal photos or videos for private use, but must do so respectfully and without interfering with the safety or enjoyment of others. Clip ‘n Climb Crawley may seek consent to use images for promotional purposes. Only trained and accredited assistance dogs are permitted on site.

3. Booking, Cancellations and Refunds

3.1 General Bookings
All bookings must be made by an individual aged 18 or over. Bookings are made via our online platform and must be paid in full at the time of booking. Booking confirmation will be sent by email. Sessions last 1 hour and 25 minutes (including briefing).

3.2 Amendments and Cancellations – Climbing Sessions
– Cancellations made more than 48 hours in advance are eligible for a refund or rescheduling
– Cancellations made 24–48 hours in advance may be rescheduled within three months, but are not eligible for refund
– Cancellations within 24 hours or non-attendance are non-refundable and non-transferable
– Discount codes or promotional vouchers must be applied at the time of booking; they cannot be retrospectively added

3.3 Birthday Parties
– A non-refundable deposit of £50 is required at the time of booking
– All monies paid towards birthday parties are strictly non-refundable
– The full balance must be paid no later than 7 days before the party date
– If a party is cancelled with fewer than 7 days’ notice, the full outstanding balance remains payable and must be settled in full
– Final guest numbers must be confirmed 7 days before the event; no refunds will be issued for non-attendance or reduced numbers
– Minimum booking: 10 participants
– Party packages include a 30-minute briefing, 55-minute climbing session and 45 minutes in a private party room
– Decorations are allowed but must not cause damage to the premises
– Any damage caused to the party room or its contents will incur a minimum damage charge of £50
– Only birthday cakes with clearly labelled ingredients are permitted; no sparklers, large open flames or cake fountains
– All participants must have a signed waiver completed before taking part
– Package details, pricing and availability are subject to change without prior notice

3.4 Group Bookings and Events
– A non-refundable deposit or full payment is required at the time of booking, as specified
– All monies paid towards group bookings are strictly non-refundable
– The full balance must be paid no later than 7 days prior to the event
– Final attendance numbers must be confirmed at least 7 days before the event; charges will be based on confirmed numbers
– No refunds will be issued for reduced attendance or non-participation
– Promotional offers, discount codes or vouchers cannot be applied to group bookings
– Any changes to bookings are subject to availability and at the discretion of management

4. Lockers and Personal Property

Lockers are available free of charge and are used at your own risk. Clip ‘n Climb Crawley is not liable for any lost, stolen or damaged personal belongings. Lost property will be held for one calendar month, after which unclaimed items may be donated to charity.

5. Behaviour, Alcohol and Substances

Antisocial, aggressive or abusive behaviour towards staff or other visitors will not be tolerated. Anyone behaving in such a manner may be asked to leave the premises immediately without refund. Entry will be refused to anyone believed to be under the influence of alcohol or illegal substances.

6. Parking

Free on-site parking is available. Vehicles are parked entirely at the owner’s risk. All drivers must adhere to the Highway Code and any on-site signage or instructions.

7. Café and Soft Play

7.1 South Ridge Café
Only food and drink purchased from the café may be consumed on the premises, excluding bottled water. Birthday cakes may only be brought in for party bookings and must be kept within the party room.

7.2 Soft Play Rules
– Entry is for children aged 0–9 (free for under 18 months, otherwise chargeable)
– Accompanying adults must supervise children at all times
– Socks must be worn; no shoes, food, drink, jewellery or personal items are allowed in the play area
– Antisocial behaviour or disregard for rules may result in removal without refund
– Soft play wristbands are only valid for the date of issue

8. CCTV and Body Worn Cameras

8.1 CCTV Monitoring
Clip ‘n Climb Crawley operates a CCTV system throughout the premises for safety, crime prevention and operational monitoring. This includes the climbing arena, café, reception and soft play areas.

8.2 Use of Body Worn Cameras
Authorised management personnel may wear body worn video and audio devices. These may be activated in the event of incidents, suspected rule breaches or antisocial behaviour.

8.3 Data Protection
All recordings are stored securely and processed in accordance with the UK General Data Protection Regulation (GDPR). Footage will only be shared with law enforcement or relevant authorities when legally required. Entry to the site constitutes acceptance of this policy.

9. Offers, Prizes and Memberships

9.1 Promotional Offers and Prize Draws
– Must be 18 or over to enter
– One offer or prize per person per booking
– Prizes and discounts are non-transferable and not redeemable for cash
– Clip ‘n Climb Crawley reserves the right to withdraw or modify offers at any time
– Proof of eligibility may be required
– Staff and their immediate families are excluded from prize draws

9.2 Membership Terms
We offer three tiers of membership:
Explorer – £39/month: up to 4 climbs/month
Adventurer – £59/month: up to 6 climbs/month, 1 Ultimate Challenge per visit, 10% café discount
Unlimited – £89/month: unlimited climbs, 2 Ultimate Challenges per visit, 10% off café and merchandise

Terms:
– Membership is non-transferable and does not roll over monthly
– Sessions must be pre-booked and are subject to availability
– Benefits must be claimed in person
– Payment is via monthly direct debit and continues until cancelled
– A one-month notice period is required to cancel
– Clip ‘n Climb Crawley may update membership benefits or prices with 30 days’ notice
– Memberships may be suspended in the event of enforced closures
– Any misuse may result in cancellation without refund

Our team will always do their very best to provide outstanding service, but in the unlikely event that you are dissatisfied with your experience, we kindly ask that you contact our Management Team via: manager.crawley@clipnclimb.co.uk with full details of your experience and any other relevant information.
